Job Summary:
The Maintenance Clerk (CMMS Specialist) is an essential support role within our Maintenance Department, focusing on the administration and management of the CMMS (Computerized Maintenance Management System). This position plays a critical role in ensuring the smooth operation of maintenance activities by managing work orders, maintaining accurate records, and providing administrative support to the maintenance team. The ideal candidate will have strong organizational skills, experience with maintenance management software, and a keen eye for detail.

Responsibilities

 

  • Serve as the primary administrator for the CMMS, ensuring accurate input and management of maintenance data.
  • Generate, assign, and close work orders in the CMMS, coordinating with maintenance supervisors and technicians to ensure timely completion of maintenance tasks.
  • Maintain accurate and up-to-date records of maintenance activities, including work orders, spare parts inventory, and equipment histories.
  • Generate reports from the CMMS for analysis by maintenance management, helping to identify trends, areas for improvement, and maintenance planning.
  • Assist in the management of the maintenance inventory, ensuring spare parts and supplies are accurately tracked and reordered as necessary.
  • Provide administrative support to the maintenance team, including scheduling meetings, preparing documentation, and facilitating communication across departments.
  • Collaborate with IT and CMMS support to troubleshoot system issues, implement updates, and optimize system functionality.
  • Train maintenance staff on the use of the CMMS, developing user guides and providing ongoing support as needed.
  • Participate in the development and implementation of maintenance procedures and best practices to improve efficiency and effectiveness.
  • Support the maintenance team in ensuring compliance with health, safety, and environmental regulations.

Qualifications

 

  • High school diploma required, associate degree or certification in business administration, information systems, or a related field preferred.
  • Minimum of 1 year of experience in an administrative or clerical role, preferably within a maintenance or manufacturing environment.
  • Experience with maintenance management systems, particularly CMMS, is highly desirable.
  • Familiarity with maintenance processes and terminology.
  • Strong organizational and administrative skills, with a high level of attention to detail.
  • Proficient in the use of computer systems, including maintenance management software, MS Office, and database management.
  • Excellent communication skills, both written and verbal, with the ability to interact effectively with all levels of the organization.
  • Ability to work independently and manage multiple tasks simultaneously in a fast-paced environment.
  • Proactive and solution-oriented, with a continuous improvement mindset.
